The Chin Team (“we,” “us,” or “our”) is a real estate team affiliated with Howard Hanna Real Estate Services. This Privacy Policy explains how we collect, use, and share information when you visit thechinteam.com (the “Site”), contact us, or use our services. Information handled by Howard Hanna Real Estate Services as our brokerage is also governed by Howard Hanna’s Privacy Policy.

Information We Collect

Information you give us

When you submit a form on the Site, email, call, or text us, or work with us as a client, we may collect:

• Your name, email address, and phone number.
• Your property address, city, state, and ZIP code, for example when you request a home valuation.
• The contents of your message and details about your real estate needs, timeline, and preferences.
• If you become a client, additional information needed to complete a transaction, such as financial qualification details and identification. This information is typically collected and stored through Howard Hanna’s transaction systems.

Information collected automatically

When you visit the Site, we and our service providers automatically collect technical information such as your IP address, browser and device type, operating system, the pages you view, the pages that referred you, the dates and times of your visits, and an approximate location derived from your IP address. This information is collected through server logs, cookies, and similar technologies described below.

Information from other sources

We may receive information about you from Howard Hanna Real Estate Services and its affiliates, from public records and multiple listing service (MLS) data about properties, from social media platforms when you interact with our pages, and from advertising partners such as Meta.

Cookies, Pixels, and Similar Technologies

Meta Pixel

The Site uses the Meta Pixel, a small piece of code provided by Meta Platforms, Inc. (the company behind Facebook and Instagram). The pixel sets cookies such as _fbp and collects information about your visit, including the pages you view, the actions you take, your device and browser details, and your IP address. We use it to measure the performance of our advertising, to show you relevant ads on Meta platforms, and to build advertising audiences. Meta may combine this information with information it already holds about you and use it in accordance with Meta’s Privacy Policy. You can manage how Meta uses your information for ads in your Meta ad settings.

Hosting, performance, and content delivery

The Site is hosted on Microsoft Azure and uses caching software to load quickly. These systems may record technical logs and set cookies that are strictly necessary for the Site to function. The Site also loads fonts from Google Fonts and property photos from Howard Hanna and its listing photo provider. When your browser requests those files, those providers receive your IP address and browser information. See Google’s Privacy Policy for details on how Google handles that information.

Your cookie choices

• Most browsers let you block or delete cookies through their settings. Blocking cookies may affect how parts of the Site work.
• To opt out of interest-based advertising from Meta and many other companies, visit the Digital Advertising Alliance at optout.aboutads.info or the Network Advertising Initiative at optout.networkadvertising.org.
• The Site does not currently respond to “Do Not Track” or Global Privacy Control browser signals.

How We Use Information

• To respond to your inquiries and provide home valuations and other real estate services.
• To communicate with you by email, phone, and text message. By providing your phone number you agree that we may call or text you about your inquiry and our services. Message and data rates may apply. You can reply STOP to any text to opt out.
• To store and manage leads and client relationships in our customer relationship management (CRM) system.
• To market our services and listings, including through advertising on Meta platforms, and to measure how our advertising performs.
• To operate, secure, troubleshoot, and improve the Site.
• To comply with legal obligations, real estate licensing and fair housing requirements, and brokerage policies.
• To protect our rights and the rights and safety of others, and to prevent fraud.

How We Share Information

We share information in the following circumstances:

• Howard Hanna Real Estate Services and its affiliates. Our brokerage and its affiliated companies, including mortgage, title, and insurance affiliates when you request those services.
• Service providers. Companies that help us run the Site and our business, including web hosting (Microsoft Azure), email delivery (Azure Communication Services), CRM software providers, and advertising and analytics partners such as Meta. These providers may only use your information to provide services to us, except where their own policies apply, as with Meta.
• Transaction participants. If you become a client, other parties needed to complete your transaction, such as cooperating agents, lenders, title companies, appraisers, and inspectors.
• Legal and safety. When required by law, subpoena, or court order, or when we believe disclosure is necessary to protect rights, property, or safety.
• Business transfers. In connection with a merger, sale, or transfer of our business.
• With your consent. For any other purpose you agree to.

We do not sell your personal information for money. Our use of the Meta Pixel may be considered “sharing” or “targeted advertising” under some state privacy laws. You can opt out as described in “Your cookie choices” above.

Your Choices

• Marketing emails. Use the unsubscribe link in any marketing email, or contact us using the details below.
• Text messages. Reply STOP to any text message from us.
• Phone calls. Ask us to stop calling and we will honor your request.
• Cookies and advertising. See “Your cookie choices” above.
• Access, correction, and deletion. You may ask us to access, correct, or delete the personal information we hold about you by contacting us using the details below. We may need to verify your identity before acting on a request, and we may keep information we are required to retain by law.

State Privacy Rights

Depending on where you live, state law may give you additional rights, including the right to know what personal information we collect, to access or obtain a copy of it, to correct or delete it, to opt out of targeted advertising or the sale or sharing of personal information, and to not be discriminated against for exercising these rights. As a small business we may not be subject to every state privacy law, but we will respond to requests in good faith. To exercise any of these rights, contact us using the details below. If we decline a request, you may ask us to reconsider by replying to our response.

Data Retention

We keep personal information for as long as needed to fulfill the purposes described in this policy, to comply with legal and record-keeping obligations (real estate transaction records are retained for the periods required by Ohio law and brokerage policy), to resolve disputes, and to enforce our agreements. Lead and inquiry information may be retained in our CRM until you ask us to delete it or it is no longer needed.

Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please do not send sensitive information such as Social Security numbers or bank account details through the forms on this Site.

Children’s Privacy

The Site is not directed to children under 13, and our services are intended for adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

Third-Party Websites and Social Media

The Site links to websites and services we do not control, including howardhanna.com, social media platforms, and property listing and mapping services. Their privacy policies govern any information you provide to them. We are not responsible for their practices.

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated policy on this page with a new effective date. Your continued use of the Site after an update means you accept the revised policy.
